The chair's annual calendar: what comes up each month
Running a small community fits on a one-page calendar. This is the pattern (adjust it to your building):
Quarter 1 (January to March)
- January: close the year's accounts; reminders on arrears.
- February: ordinary meeting (accounts, budget, officers); minutes and notifications within the week.
- March: implement the resolutions (new dues if they change, approved works out to quote).
Quarter 2 (April to June)
- April: spring inspection (roof after the winter, irrigation, facade).
- May: renew or benchmark the insurance if it is due; get the pool ready if there is one.
- June: open the pool with its rules; summer plan (absences, emergencies).
Quarter 3 (July to September)
- July and August: the watched minimum — dues issued, emergencies covered, the building secure.
- September: post-summer review; collections up to date; quotes for autumn works.
Quarter 4 (October to December)
- October: winter checklist (gutters, boiler, lighting); extinguisher inspection if due.
- November: contracts renewing in January — compare and give notice in time (the lift!).
- December: the year's invoices complete; draft of the accounts; end-of-year message.
YOUR building's variable dates
Lift inspection, technical building inspection, extinguisher re-stamping, contract renewal dates: note them once with a reminder — they are the ones that, forgotten, cost money.
